Domain Registration Notice

Please be aware that domain registrations are governed by separate registration agreements, privacy policies, and terms and conditions. These are available for review at ScoutingSite Domains.

1. Legal Agreement

These Terms of Use constitute a binding legal contract between Camp & Event Solutions Ltd (trading as ScoutingSite™) and you. By accessing the platform, using AI features, or purchasing a domain, you signify your informed consent to these terms. These terms are governed by the Laws of Scotland.

2. Account Ownership & Responsibility

The owner of the account is the person or entity whose email is registered. You are responsible for all activities under your account, including those performed by "Contributors". You must notify us immediately of any unauthorised use.

3. Fees & Payments

All fees are billed in GBP (£). Subscriptions and domain registrations are non-refundable. AI features are included in specific tiers as "Not Chargeable" or "Premium" benefits but are subject to fair use limits.

Stripe processes ScoutingSite subscription payments on this platform. SumUp processes optional Group shop sales on the Group’s own website. Those two payment flows are separate: a visitor buying a necker from a Group shop pays the Group via SumUp, not ScoutingSite via Stripe.

4. Intellectual Property

You retain ownership of your User Content. You grant Scouting Site a non-exclusive license to host and process your content specifically to provide the service. Scouting Site retains all rights to the platform’s code, AI system prompts, and design.

5. Group shop (SumUp) and Google Calendar

If you enable a Group shop, products are listed from your connected SumUp catalogue. Visitors pay on SumUp’s hosted checkout. The contract of sale is between the visitor and your Group. You are the merchant of record. ScoutingSite starts the checkout and is not the seller of those goods. Refunds, fulfilment and SumUp account issues are your responsibility. SumUp’s terms apply on SumUp’s pages.

If you connect Google Calendar (Premium), public event titles, times and locations from that calendar may appear on your Group website. You must not publish private personal information in those events. Calendar listings are provided for information and may be delayed or incomplete if Google’s service is unavailable. Private and cancelled events are not displayed.

You can disconnect SumUp or Google Calendar at any time from Integrations. Disconnecting stops new checkouts or event fetches; it does not cancel SumUp or Google accounts themselves.

6. Acceptable Use Policy (AUP)

To ensure a safe environment for Youth Organisations, you agree NOT to use Scouting Site or ScoutingSite AI to:

  • Illegal Activities: Defamatory content or criminal offences under Scottish Law.
  • AI Misuse: Generating deceptive, harmful, or sexually explicit content via AI prompts.
  • Malicious Code: Distributing viruses or malware.
  • Phishing: Deceptive forms to harvest sensitive data.

Note: We reserve the right to terminate accounts immediately for AUP violations.

7. ScoutingSite AI Features

When using our AI generation tools, you acknowledge and agree that:

  • Content Replacement: Generating content via AI may permanently replace existing text or layouts in the editor. You are responsible for maintaining backups of your own data.
  • Accuracy: AI may generate inaccurate or inappropriate information ("hallucinations"). You must review and edit all AI-generated content before publication.
  • No Guarantee: We do not guarantee that AI-generated content will be fit for your specific purpose or meet Scout brand guidelines without human intervention.
8. Limitation of Liability

To the maximum extent permitted by law, Camp & Event Solutions Ltd shall not be liable for any losses arising from your use of the service, including AI-generated errors, domain expiration, data loss, SumUp checkout failures, or inaccurate or unavailable Google Calendar listings. Nothing excludes liability for death or personal injury caused by negligence.

9. Jurisdiction

Any dispute shall be subject to the exclusive jurisdiction of the Scottish Courts.
